Epicor Kinetic credit hold: how the check works
Applies to: Epicor Kinetic and Epicor ERP 10.2. Validate credit management rules and hold procedures in Pilot with your credit manager.
Short answer
Kinetic can hold a customer or an order when the customer's exposure exceeds its credit limit, or when it is flagged on hold manually. Exposure is compared with the limit set on the customer. Whether open orders count toward exposure is a customer-level setting.
Note: Credit control has financial and audit consequences. Confirm every field, setting and process name below in Pilot, and with your credit manager, before relying on it.
What counts toward exposure
Typically, open receivables (unpaid invoices) plus shipped but uninvoiced amounts, and optionally open sales orders. The customer master holds the credit limit (Customer.CreditLimit), the customer-wide hold flag (Customer.CreditHold), and the option to include open sales orders (Customer.CreditIncludeOrders).
Overdue invoices
Customers can also be held for overdue balances. Check the credit settings on Customer Maintenance and in your credit management configuration for how aging thresholds and grace periods are evaluated in your release.
Customer hold vs order hold
- Customer on credit hold: new and existing orders for that customer are affected according to your system settings.
- Order held: an individual order can be placed on hold without affecting other orders (via OrderHed.OrderHeld).
- Override: Kinetic lets authorized credit managers release a specific order (via Order Credit Override in Sales Order Entry) despite a customer hold or limit breach, allowing warehouse fulfillment while keeping the customer master on credit hold.
Confirm in Pilot which screens block pick, pack and ship for a held customer or order.
Periodic recheck
Credit status is not necessarily recalculated the instant a cash payment is applied. Kinetic provides a Global Credit Hold routine (under Financial Management > Accounts Receivable). Many organizations schedule this batch task through the Task Agent so customer credit statuses update periodically as cash receipts post.
Security
Restrict who can release holds or override credit limits using Security Groups and Field Security Maintenance on override fields, and consider auditing credit fields with a Change Log directive.
FAQ
Do national accounts share credit?
Yes, if configured under National Accounts with parent credit enabled, orders from child entities can evaluate against the parent company's aggregate credit line. Credit limits do not carry across separate Kinetic company databases.
Can one release ship if another is held?
In standard Kinetic, credit hold is evaluated at the Sales Order Header level (OrderHed.OrderHeld). When the order header is on credit hold, shipping routines block all releases on that order until the hold is resolved or overridden.
